[SL] SL Subcontract Entry Process

Subcontract Ledger > Programs > SL Subcontract Entry


1. Chose a batch month and click OK


2. Type "+" and click Enter to create a new sequence (new subcontract entry)


3. Enter the subcontract number


4. Enter the company number (you can F4 to search company's and chose one)


5. Enter the Job number (you can F4 to search jobs and chose one)


6. Enter a description for what type of subcontract it is


7. Enter the vendor who is responsible for the completing the subcontract (you can F4 to search vendors and chose one)


8. Enter the Pay Terms (some will autofill based on vendor, otherwise you can enter them yourself - you can also use F4 to find pay terms that have been set up in Vista previously)


9. Check off the "Claim Approval Required" if necessary (Claim Approval Required if checked off, will require any invoices for the subcontract to be approved before they can be paid)


10. Enter the Compliance Group (Cmpl Group) if necessary - a compliance group is a set of requirements (like insurance or licenses) that subcontractors must meet to receive payment. If they aren't met, the invoices can't be paid. (You can F4 in the Cmpl Group cell to see preset options)


11. Enter the start date of the of the subcontract


12. Enter a hold code if necessary - a hold code will temporarily prevent payments or processing of the invoices for the subcontract until specific conditions are met. It can be removed at any time. 


13. Click "+" and enter in item in the bottom section


14. When you are first creating a subcontract, the item type should be regular.


15. The job number will autofill.


16. Enter the phase of the job that the subcontractor will be involved in and the cost type (you can use F4 to find these)


17. Enter a description for what the specific subcontract is - this will autofill according to your phase, but you can change it if needed.


18. Add on % and GL Account will autofill according to your phase and cost type - they won't be changeable. You can however, change the UM (unit of measurement) if needed. 


19. Enter the total cost for the subcontract item and the retainage/supplier according to the contract (you can use F4 in the Supplier box to search for suppliers)


20. Fill out the sales tax information according to the contract. 


If the Subcontract requires more than one line item: 

1. Click into the Item box and do "+" enter to create a new line item.

2. Repeat steps 14-20 for each new line item.


21. Click Save


22. Click File > Process Batch


22. Click Validate > Post


You are finished entering your SL Subcontract!
