Creating a New Class in Viewpoint HR Management

Created by Crystal Millington, Modified on Fri, 26 Dec at 1:26 PM by Crystal Millington

  1. Start a New Class:

    • Go to Employee Tools > Training Class Dashboard and click New Class.

    • Optionally, select a course. This will auto-fill the class title, checklist, eligible employee groups, and training/skill codes. All fields are editable after creation.

    • Only the title is required unless Require Course Template is enabled in Admin settings.

  2. Continue and Edit:

    • Click Continue to create the class.

    • The class will appear in the dashboard grid, and you will be taken to the Class Detail module to edit further.

    • You can rename the class, but if a course is selected, the course itself cannot be changed.

  3. Class Details:

    • Training Tasks: View and complete the checklist associated with the course.

    • View Roster: Download a list of registered employees, instructor, location, date/time, attendance, and signatures.

    • Registered Attendees: Add/remove attendees, mark them present or absent, and record signatures.

    • Employee Groups: Add or remove groups eligible for this class. If portal registration is enabled, checking Open for Registration allows employees to self-register.

    • Training and Skill Codes: Add or remove codes from HR Code Master. Codes are added to employees’ records after the class is finalized.

    • Upload Document: Attach files to the class.

  4. Submit and Finalize:

    • Click Submit to notify the Training Class Admin that the class is ready.

    • Submission requires: date, start/stop times, at least one attendee, completed training tasks, and at least one training/skill code.

    • Admin clicks Finalize to update Vista records with training/skill codes and attachments for all attendees.

  5. Save and Close:

    • Click Save and Close to return to the Training Class Dashboard.

Note:

  • Employee Tools updates Vista HR Resource Training and HR Resource Skills with training/skill codes and attachments.

  • This portal workflow does not update HR Training Classes in Vista or support non-employee instructors.
