HeavyBid Transfer to Viewpoint & HeavyJob

Step 1: Create SB Job Number

Go to 'Project Number List for Estimators' See path location below. Take the next available number and fill in all fields. 


Step 2: Export from HeavyBid

1. Open the job in HeavyBid.
2. Click 'Exchange' on the menu bar.
3. Select 'HeavyJob and Accounting (Classic)'.

4. Click 'Export Options'.
5. Enter the Filename (SB Project number, e.g., 12990.col) and Job Number (SB Job Number, e.g., 12990).
6. Browse to the location to save the file. 

 7. Click 'Export'.


Step 3: Import into Viewpoint

1. Open Viewpoint.
2. Go to My Tasks > SBA – 07 Imports > PM Imports.

3. Click 'Import Data'.
4. Browse and select the .col file.
5. Enter the Import ID (SB Job Number) and Retainage Percentage.
 6. Click 'Import', then 'Close'.

Step 4: Edit Work Tables

1. Click 'Edit Work Tables'.
2. Enter the Import ID (SB Job Number).
3. On the Items tab:
- Check the UM column for 'LSU'.
- Change Bill Type to 'N'.
- Verify the Contract Item Total.
4. On the Cost Types and Subcontracts tabs:
- Ensure UM is 'LSU'.

- Verify vendor information. Insert Image 
If the vendor isn't shown, contact Greg.
 5. Save and close.

Step 5: Upload into PM

1. Click 'Upload into PM'.

2. Fill out the required fields:

- Import ID = SB Job Number

- Project = SB Job Number

- Liab Template = 1

- PR State = MO or KS

- Department = 1

- Customer = Owner (If subcontractor, enter the Prime Contractor) (Press F4 for a list of customers)

- Tax Code = Always leave blank

  • Location = Plant used for bidding (Press F4 for available options)
  • Click the Upload button (When prompted, select Delete Work Tables)

3. Click 'Upload'. Delete Work Tables if prompted.

4. Click 'Close'. Insert Image

Step 6: PM Project Setup

1. Go to My Tasks > SBA – 01 Project Setup > PM Projects.


2. Fill out the required fields

- Project = SB Job Number

- Description = Project Description that needs to match HeavyBid name

- Contract = SB Job Number

- Department = 1 (should be populated from step 4.4.2.5)

- Customer = Customer (should be populated from step 4.4.2.6)

- Project Manager = Estimator (Press F4 for list)

- Tax Code (Costs) = Always leave blank

- Liability Template = 1

- Insurance Template = Select Work Comp State (Press F4 to see options)

- PR State = Select the state

- Agency = If DOT or County, then select option (Press F4 for list)

- Check “Flite” box if certified payrolls

- Save record if needed

3. Nothing to input on the "Add Info" tab.

4. Select the "SB Project Info" tab.

- Fill out all required fields on this tab as shown

5.Select the "PR Info" tab.

- Geographic Code = County and State

- Check the "Certified" box if the job requires certified payrolls

- That is all on this tab

-6. Save and exit the “PM Projects” module


Step 7: PM Contracts

1. Go to My Tasks > SBA – 01 Project Setup > PM Contracts.


2. Select Info Tab

- Verify information and enter the Owner Contact.

-Leave Tax Code Blank
4. Save and exit.


Step 8: PM Project Phases

1. Go to My Tasks > SBA – 01 Project Setup > PM Project Phases.

2. Select the Grid tab and check the necessary items that will be on the street report/

3. Save and exit.



Step 9: PM Interface

1. Go to My Tasks > SBA – 01 Project Setup > PM Interface.

2. Enter the Project number and correct Month.

3. Click 'Validate', then 'Interface'.

4. Close the module.


Step 10: PM Street Report

1. Go to My Tasks > SBA – 01 Project Setup > PM Street Report.
2. Enter the Job Number = SB Job Number
3. Click 'Preview' to verify information.
4. Click 'Print'.
 5. Close the module.

Step 11: Create Job in HeavyJob

1. Open HeavyBid.
2. Go to 'Exchange' > 'HeavyJob and Accounting (Classic).
3. Select the 'HeavyJob Options' tab.
4. Click 'DirectLink to HeavyJob'.

5. Change the Job Code to the SB Job Number.
 6. Click 'Create Job'.
