[SM] SM Service Sites

Go into Service Management> Programs> SM Service Sites

Choose your Service Site #
This defaults to Active, if this is a Non-Billable site you can check that box.


Select the Type:

  • C – Customer: Use this if the site is for a customer (linked to an SM customer).
  • J – Job: Use this if the site is for a job (linked to a JC job).


Press F4 to select the Customer or JC Job


Enter the Site Description:


Enter the Address (This is the "Site Address")
If you have multiple sites you can have many attached to one SM Customer
Add'l Address can be filled out if necessary



Phone
Enter Phone Number
General Site or Main Office can be helpful


Billing Email:
If you have multiple emails to include list like the example (test@email.com;test1@email.com;test2@email.com)



Default Service Center: Press F4 to select


Press F4 to select your default contact
You an go to the Contacts and add all contacts attached to this site (see second image below for reference)


Rate Template Press F4 to select

The rate template sets the prices for labor, equipment, and materials on a service site.

  • When you make a work order, it uses the rate template from the service site.

  • If the service site doesn't have one:

    • Customer work order: It uses the customer’s rate template (if set).

    • Job work order: It leaves it blank.

Note: Doesn’t apply to Actual Cost job work orders.
Override Rates is if you have an overrides for your rate templates or standard item overrides


Standard Charges
If you have a charge related to a specific service site for each SM Work Order created you can set it up here, see both images for reference


1. Tax Code Press F4 to select

  • Add the tax code from HQ Tax Codes. (These should be set up)

  • This will calculate sales tax on work done at this service site if the work order is set to use the Service Site for tax.

Leave it blank if:

  • No tax applies, or

  • You want to enter tax manually for each work order.


2&3. Use Tax Code (Checkbox)

  • Check this box only if your Use Tax is different from the Sales Tax.

  • Then enter the Use Tax Code (or press F4 to choose from a list).

If you don’t use Use Tax or it’s the same as Sales Tax, leave the box unchecked and the field blank.

The system uses the Use Tax Code only for materials when the Tax Source is Service Site.


Primary Technician: Press F4 is there is a main technician at this site


Reviewer Press F4 if you have a main reviewer for any approvals needed (including billing)


Customer PO Override: Select one if needed


Press F4 if you have a site specific Customer Invoice Report:
This can also be set up in SM Customers


Invoice Grouping:
Use the dropdown to select preference, this can also be set up in SM Customers


PO Override:
Use the dropdown to select preference if necessary


Include Attachments
If you have attachments you need to include

 

Alternate Bill To: If Applicable

  • First, check the Alternate Bill To box.

  • Then, choose the AR customer who should be billed instead of the Owner.


PR Local Code:

Local Code – Simple Version

Enter the local code for the city, county, or area where the service site is located.

  • Press F4 to see a list of valid codes (from PR Local Codes).

  • This code will auto-fill on work orders for this site, but you can change it if needed
     


Insurance Code

Enter the insurance code for this service site.

  • Press F4 to pick from valid options (set up in HQ Insurance Codes).

  • This code will auto-fill on work orders but can be changed if needed.




Craft Template

For Customer service sites only.

  • Enter the default craft template for this site or press F4 to choose from valid options (from PR Templates).

  • This sets the default pay rates for labor on work orders and timecards for this site.
     


Certified Payroll

  • Check the box to mark all work orders for this site as Certified Payroll by default.

  • Leave it unchecked if Certified Payroll doesn’t apply.

You can still change it on each work order if needed.


Serviceable Items Tab:
This is to attach any specific items to be service for this service site


Work Order Tab:
This allows you to see all work orders created to this Service Site


Invoices Tab:
This allows you to see all invoices created to this Service Site


Agreements Tab:
This allows you to see all agreements created to this Service Site


Quote History Tab:
This allows you to see all Quote History created to this Service Site


Notes Tab:
Any miscellaneous notes relevant to the site can go in this tab.
