[HR] How to Manage Assets using the HR Company Assets Form

Once assets are set up in Vista, you can check out (assign) or check in (receive) them directly from the asset record in the HR Company Assets form or from the HR Asset In/Out by Resource form.


  1. From the Human Resources module's Programs folder, open the HR Company Assets form.
  2. In the Asset field, press F4 to select the asset you want to check in/check out.
  3. Click the Check In/Out button.
  4. If the asset is ‘available’ (status 0) in the HR Company Asset form and you click the
  5. Check In/Out button, the form displays as Check Out. Using this form, specify the resource and check out date, and then enter a memo about the asset (e.g. its condition, any accessories or adaptors that are included, etc.). Once you click the Check Out button, the asset’s status is then set to 1 (Unavailable), and the information (‘assigned to’ resource, checkout date and ‘out’ memo) are displayed in the Assigned To section of the HR Company Assets form, as well as on the History tab.

If the asset is to be reassigned, set the Make Available option to Yes (checked). Once you click the Check In button, the asset’s status is set to ‘Available’ and display the checkout information (last assigned to resource, checkout date, returned date, and ‘in memo’) in the Assigned to section of the HR Company Assets form. Information is also updated on the History tab. If the asset is not to be made available for reassignment (due to repairs, maintenance or other reasons), you can set the Make Available option to N (unchecked). This will set the status to 1 (unavailable).
