Use the HR Initialize to PR form to initialize employees set up in PR Employees into HR Resources, or resources set up in HR Resources, into PR Employees. You will only need to use this program during the initial setup of employees/resources, when adding new employees or resources, or when adding the HR module after Payroll has already been implemented.
You should not use this program to update changes to an employee's static information or benefits/salary information. Updates to an employee's static information should be handled through HR Resources, and updates to an employee's benefit or salary information should be handled using the HR Update Benefit/Salary to PR program.
When initializing employees or resources, you must specify the direction in which the update will occur; in other words, whether you will be updating HR with PR employee records or updating PR with HR resource records. You must then specify the PR company you are updating to or from and whether to initialize all eligible employees/resources or a specific range of employees/resources.
You also have the option to exclude employees/resources flagged as “inactive”. If you are updating HR from PR, this will include employees whose “Active” flag in PR Employees is unchecked. If updating PR from HR, this will include resources whose “Active PR Employee” flag is unchecked in HR Resources.
- From the Human Resources module's Programs folder, open the HR Initialize PR Employees form.
- Select the direction from which you want to create the resource: Update PR to HR or Update HR to PR.
- In the PR Co# field, press F4 to select the PR Company from/to which resources are to be initialized.
- Check the Initialize All box to initialize all eligible employees.
- Check the Exclude Inactive Employees box to exclude all employees flagged as Inactive.
- The Beginning and Ending Employee # fields are available only if the Initialize All option is unchecked. When available, specify the range of employee numbers of which you want to initialize.
- Click Update Grid. All eligible employee records display in the grid. To clear the grid and begin again, click Clear.
- Check the Ready box for each resource that is ready to be initialized.
- Click Initialize.
Update from PR to HR
No other resource can exist in HR Resources for the current HR company that has the same Social Security number and/or the same first/last name combination.
When initializing employees to HR, the system will try to assign the resource number using the same number as the PR Employee. However, if the system determines that the resource number already exists for another employee, the next sequential number is assigned based on the highest existing resource number. For example, if you initialize Employee #100 to HR and Resource #100 already exists in HR, and the highest existing resource number in HR is 850, the resource number for Employee #100 will be 851.
Update from HR to PR
No other employee can exist in PR Employees for the current company with the same PR employee number, the same Social Security number, and/or the same first/last name combination. Additionally, the Exists in PR checkbox must not be checked, meaning the resource has not yet been updated to PR.
When initializing resources to PR, the system will try to assign the employee number using the same number as the HR Resource. However, if the system determines that the employee number already exists for another employee, then the next sequential number is assigned, based on the highest existing employee number. For example, if you initialize Resource #100 to PR and Employee #100 already exists in PR, and the highest existing employee number in PR is 850, the employee number for Resource #100 will be 851.
Certain fields require data entry in order for the update to PR to occur, even if they are not required to add the employee to HR. They are as follows:
PR Co PR Group SS# Department Earn Code Craft Class Insurance Code
Local Code Race Insurance State Unemployment State
If these fields are left blank, the Readyflag is set to N (unchecked) and no update can occur. The error message column will show what needs to be corrected in order for the update to occur; however, since there may be more than one reason why a resource cannot be updated to PR, you may want to review the “HR to PR Initialize Check” report (available from HR Reports menu) to determine what information is missing or invalid.
Update Grid/Clear/Initialize
Once you have entered the criteria, click Update Grid. This will load all eligible employees/resources into the grid. If any of the Readyflags are set to N and you are not prepared to correct the errors at that time, you can clear them from the grid using the Clear button. A message will display asking you if you want to clear only those entries that are not ready to be initialized. If you click Yes, only the entries flagged as N will be cleared from the grid. If you click No, then all entries will be cleared from the grid.
After you have reviewed all of the entries, click on the Initialize button to implement the update process. All eligible employees/resources will be updated to the appropriate module.
