[HR] How to Create a Training Class

Created by Crystal Ann Harvey, Modified on Mon, 21 Jul at 10:26 AM by Crystal Ann Harvey

Use the HR Training Classes form to set up and maintain training classes. The form consists of two parts:

Upper section – used to set up classes

Lower section – used to register resources/employees for the class

Classes are set up by training code and sequence, allowing you to have multiple instances of a single class. For example, if you offer a First Aid class once a month, you could set up a training code of ‘FirstAid2’ in HR Codes, and set up each month as a separate sequence in HR Training Classes.

Likewise, classes that are held multiple times a day (e.g. morning and evening) can also be set up as separate sequences.

1. From the Human Resources module’s Programs folder, open the HR Training Classes form.

2. In the Training Code field, press F4 to select the code associated with the class.

In the Class Seq # field, enter the sequence number for the class. Typically, each sequence represents a different time slot or date range. For example, if the class is to be held in two different time slots, you might set up the first time slot as sequence 1 and the second time slot as sequence 2.

There are three tabs associated with class set up

Info – Use the Info tab to enter information about the class such as the description, instructor, the beginning/ending dates, and the status of the class (Scheduled, In progress, Completed, Canceled). The cost of the class is a required field but you can leave it at 0.00 if applicable. Complete the other fields according to your own needs. For more information about each field, select the field and press F1.

Location – Use the Location tab to enter information about the location of the class and who to contact in regards to the class. For more information about each field, select the field and press F1.

Skills – Use the Skills tab to specify any skills to be acquired by taking the class. For example, in a First Aid class, students might acquire skills in CPR, treating soft tissue injuries, shock, and so on. Press F4 in the SkillCode field to select the skill from a list, or create the applicable skill code using the HR Code Master form in order to select them on this tab. Skills added to this tab are updated for each resource when the class is completed and the status has been updated.

3. Save the record and close the form.
