How can I replace a Payroll Check after 90 days? (Stale dated)

A check must be reissued but it is past the number of days the check is valid (for example, the check is good for 90 days from the check date.) This article will show you how to reissue the payroll check in a current pay period. This method is also good for check issue in a prior year or any check you wish to reissue and not affect the the employees accumulations for PR taxes.


Steps

A check must be reissued but it is past the number of days the check is valid (for example, the check is good for 90 days from the check date.) This article will show you how to reissue the payroll check in a current pay period without affecting earnings.  



1. Open PR Pay Period Control to the current pay period. Create two new Payment Sequences on the Payment Sequence Tab. One Sequence will be used for the reversing check and the other will be used for the Check Replacement. Save and Close the form.


2. Go to PR Employee Pay Sequence Control. Pull up the PR Group, Current Pay Period Ending Date, Employee, and the 2nd Pay Sequence. On the Deductions tab, enter a miscellaneous deduction to adjust amounts from one period to another - most customers use an employee advance repayment deduction. Enter the net amount of the original check as a positive amount.


3. On the Info tab, change the Check Type to M-Manual and enter the original check number and a CM Ref Seq# of 1. You will need to fill in the paid date and paid month, use the current pay period's paid date and paid moth.  Process and Save. This will be the reversing check that will show in Cash Management. 

CAUTION:  You would use a paid date and paid month in the current pay period.


4. Pull up Pay Sequence 3 in PR Employee Pay Sequence Control. On the Deductions tab, enter the same deduction you used in Pay Sequence 2, but this time enter the amount as a negative amount in the Override Amount field.


5. Go back to the Info tab again and click the Process button. The net pay will reflect the amount of the replacement check. Choose a Payment Method for the new payment and save. Now a new check can be printed via PR Check Print or an EFT can be created via PR EFT Payments.
